Learn

Learn the tool, then go run your business.

Short videos, in the order you will actually need them. Start with your first week, then dig into whichever part of the platform you are standing in front of.

Getting started

Four steps, in the order a first week goes. Do them in sequence and you will be working live out of ZachCRM by the end of it.

STEP 01

Import your database

Export a CSV from wherever your contacts live now and map the columns once. If a decade of tags do not line up with real fields, the tag consolidation tool converts them and cleans up after itself.

STEP 02

Set up your first household

Add the people, the lead source, the rapport fields and the home criteria in real words. Set the follow-up date and the follow-up action before you save, because that pair is what puts the household on tomorrow’s list.

STEP 03

Enter your first contract

Two or three minutes of contract fields buys you a source of truth and every milestone deadline generated for you. Use a file you are working right now so you can feel the difference on the same deal.

STEP 04

Build your first list view

Filter by anything in the database and save the result as a view you can open in one tap. The pop-by pull and the due today list are both just saved views, and yours will be too.

Feature guides

One guide per part of the platform. If something on the homepage sold you, this is where you see how it actually works.

video: households and contacts

Households

How the record is structured, why contacts live inside it, and how group text and group email work. Covers rapport fields and referral tracking.

video: follow-up dates

Follow-up dates

Why the household carries the date instead of the task, and how to keep the due today list at twenty households rather than a hundred and fifty line items.

video: smart tasks

Smart tasks

Attaching field changes, templates, scheduling and transaction steps to a checklist item, so checking the box does the work instead of reminding you about it.

video: the mobile app

Mobile

Working a call list from the car: native dialing from your own number, the debrief screen, templates on the phone, and how the journal fills itself in.

video: transaction management

Transactions

Contract fields to milestones to closing disclosure review. Includes the warnings you get when something is unscheduled inside its window.

video: templates

Templates

Finding what ships with your account, editing it into your own voice, and using date fields so a template pre-fills with the deadlines on the file.

video: teams and commissions

Teams

Assignment, supervisor visibility, commission defaults per member, per file overrides, and where the yearly totals come from.

Tips and tricks

Sample content, replace before launch

Short entries, the kind of thing you would pick up looking over another agent’s shoulder.

Write the follow-up action like a sentence, not a category

A follow-up action that reads “call” tells you nothing at nine in the morning. One that reads “call, ask how Elena’s swim meet went, 90 days since closing” means you dial without preparing.

The field takes as much text as you want. Use it as a note to yourself from the version of you who just hung up and still remembers everything.

Save a pop-by view per side of town

One big list of overdue past clients is a chore. The same list split by area is a fifteen minute detour on a day you are already showing out there.

Filter on rating A or B, no pop-by in 90 days, then add the area, and save one view per side of town. Open whichever one matches today’s route.
