About ZachCRM
What is ZachCRM?
ZachCRM is a real estate CRM for agents, built around households instead of contacts. Calls end with a five-second debrief that updates the record, follow-up is one date per household, and everything you can do at your desk you can do from your phone. It was built by Zach, a real estate agent, out of ten years of selling.
Who is ZachCRM for?
Residential real estate agents and small teams who want a CRM they will actually keep up to date, especially agents who work their sphere of influence and past clients by phone.
How is ZachCRM different from other real estate CRMs?
- Households, not contacts. People who live and buy together are grouped into one household, so 2,000 loose contacts become about 900 relationships, and each person keeps their own details. How households work.
- Debriefs. Every call ends on a short debrief, so the pipeline stage, temperature, timeline and notes are right at the source, not reconciled on Sunday night.
- Follow-up by household. Tasks live inside the household; the household carries one follow-up date. You work the 20 households due today, not 150 separately dated tasks.
Why choose ZachCRM over Follow Up Boss, Wise Agent or BoldTrail?
- Relationships, not a pile of contacts. Those CRMs keep a record per person. ZachCRM groups the people who live and buy together into one household, with one follow-up date and one timeline, and each person keeps their own details.
- A CRM that stays current. Every call ends with a debrief that logs your notes and sets the next follow-up, so the database is right without a Sunday night catch-up.
- Rapport before you dial. FORD notes, queued talking points and the referrals a household has sent you are in call prep, above the Start call button.
- One published price. $50 a month. Follow Up Boss starts at $69 per user a month with calling as an add-on, Wise Agent charges extra for texting credits, and BoldTrail does not publish its price; reviewers report about $499 a month for a solo agent plus a $999 setup fee.
- Your number, your database. Calls and texts go out from your own phone, and your records stay yours when you change brokerages.

Moving your database in
How do I import my contacts?
Export your contacts from wherever they live now, as a CSV or Excel (.xlsx) file, and import it into ZachCRM. The importer groups married couples into one household and turns years of inconsistent tags into real fields. Most agents are imported and set up in about five minutes.
Can I switch from Follow Up Boss, Wise Agent, BoldTrail or another CRM?
Yes. Most CRMs, and any spreadsheet, can export contacts to a CSV or Excel file, and that file is what the ZachCRM importer takes. If you get stuck, email support@zachcrm.com and we will help.
Will married couples come in as two separate contacts?
No. Couples usually come out of your old CRM as two contacts, and the importer groups them into one household, with each person still keeping their own phone, email and birthday.
Using ZachCRM
Does ZachCRM work on my phone?
Yes. Every activity you can complete at your desk you can complete on your phone. The Android app is on Google Play, and the iPhone app is coming soon to the App Store; until then, use ZachCRM in your phone's browser at app.zachcrm.com.
Does it log my calls and texts?
Yes. Calls and texts go out from your own phone number, with no second line to hand out, and log to the household automatically. Each call ends on a debrief screen, so the notes and fields are updated before you pull out of the driveway.
Can I text or email a whole household at once?
Yes. From the household you can text or email one person, or send a group text or group email to everyone in it. It logs once, as one activity against the household.
Does it have email templates, text templates and action plans?
Yes. You build your own email templates, text templates and action plans, and checklist items can send a template when you check them off.
Does it track transactions and commissions?
Commission calculations, tracking and projections, transaction history and compliance exports are included in ZachCRM. Full transaction management, with milestones, inspections and appraisals, comes with ZachCRM Pro.
Does it connect to Google?
Yes. ZachCRM integrates with Google Drive, so the files for a household live with the household.
Can leads from Zillow or Realtor.com come in automatically?
Automatic lead delivery, where new leads arrive as households without copy and paste, is part of ZachCRM Pro, which is coming soon.
Your data
Do you sell my data?
No. Not to data brokers, not to lead vendors and not to anybody's ad platform. Your contacts and your clients' details are in ZachCRM because you put them there.
Who owns my data?
You do. You can export your households to CSV or Excel at any time, and your files and records stay yours if you change brokerages.
How do I delete my account?
You can delete your account and your data from inside ZachCRM. See how account deletion works.
