ZachCRM ("we", "our", or "the app") respects your privacy and is committed to protecting your information. This Privacy Policy explains what data we collect, how we use it, and your rights.

2. Information We Collect

Account Information
Name and email address (via our authentication provider), and the phone number you provide when creating your account

Customer Data (CRM Data)
Information you enter into the app, including contact details, notes, and other business-related data

Google and Third-Party Integration Data

If you choose to connect integrations, we may access:

• Email sending permissions (to send emails on your behalf)
• Calendar data (to create, view, and manage events)
• File access (limited to files you explicitly use with the app)
• Address data (via autocomplete services)

Voice and AI Processing Data

• Audio input (if you use voice features)
• Transcribed text and generated content

Website Usage
Which pages of zachcrm.com you view and how long each is on screen, the website that linked you here (its domain only), any campaign tags in the link, whether you are on a phone, tablet or computer, whether you interacted with a page at all (moved the mouse, clicked, scrolled or typed; not what or where), whether your browser identifies itself as automated, and which steps of sign-up you reach. We use it to improve the site and the sign-up process, and to leave automated visits out of our numbers. It is kept in our own database, is not shared with analytics or advertising companies, uses no cookies, and is not linked to your name or email. If your browser sends Global Privacy Control or Do Not Track, we do not record which pages you view.

3. How We Use Your Information

We use your data only to operate and provide the features of ZachCRM.

This includes:

• Operating the CRM system
• Sending emails on your behalf
• Creating and managing calendar events
• Processing and organizing your data within the app
• Providing AI-powered features such as transcription and content generation
• Contacting you directly about your account, such as support, billing, or security matters

We use your phone number only to contact you about your account. We do not use it for marketing, and we do not send automated calls or text messages to it.

We use account and usage information, such as when you last used the app,and which features you use, to operate, support, secure, and improve ZachCRM. Only authorized ZachCRM staff can see it, and every access is logged.

We do not look at the content you store, such as your contacts, notes, and messages, unless the law requires it. We do not use your data to train AI.

We do not use your data for advertising and do not sell your data.

4. Data Sharing

We do not sell your personal data.

We only share data when necessary to operate the service, including:

• Authentication services
• Payment processing (Stripe). Card details go directly to Stripe and are never stored by ZachCRM.
• Cloud hosting and database infrastructure
• AI processing services
• Connected integrations (such as email, calendar, storage, and address services)

These services process data only as needed to perform the requested functionality.

5. Data Storage and Security

Your data is securely stored using cloud infrastructure with restricted network access and access controls.

We implement reasonable administrative and technical safeguards to protect your data from unauthorized access, use, or disclosure.

Staff access to customer information is limited to what is needed, protected by sign-in controls, and recorded in a tamper-evident audit log.

6. Data Retention

We retain your data only as long as necessary to provide the service.

• You may delete individual records at any time
• You may delete your account, which will permanently delete your data, except for security and audit records we must keep, and backups, which expire on a fixed schedule

7. Your Rights

You have the right to:

• Access your data
• Update your information
• Delete your data
• Delete your account and all associated data

8. Third-Party Data

ZachCRM allows you to store information about other individuals (such as contacts). You are responsible for ensuring you have the right to collect and use that information.

9. Google API Data Usage

ZachCRM's use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

We only use Google user data to provide user-facing features and do not use it for advertising or sell it to third parties.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Updates will be posted on this page.
